Active and Passive Fields



Active Fields appear on company profiles and feeds and can be used on tables, filters, graphs, and shared with other groups.

Passive Fields appear on company profiles and feeds but cannot be used on tables, filters, graphs, or shared with other groups until they are activated.


Through working with all of our customers big and small, we have found that collecting and storing lots of data can be a double-edged sword. On the one hand, you want to keep everything regardless of whether you think you need it now because someone else might find it useful in the future. The downside is now your group is tracking hundreds of fields so it's impossible to tell what's important now and what's just a relic from an earlier time. This leaves you with a couple of tough choices:

  • Do I leave this as is and try to educate everyone on what to do? This is good for keeping your data but pushes all of the work on everyone to figure out what's going on.
  • Do I delete the fields we aren't using to keep our data set minimal? This is great to get everyone up to speed quickly but really limits what data you can store and might lead you to accidentally erase something useful.

On the Nucla platform, we give you a better option: passive fields. Passive fields let you keep as much data as you want neatly stored on the company profile while also keeping all of the data you are actually using day-to-day as minimal as you need. Active fields are a clear signal of what fields are most important and receive usage in your group whereas passive ones are there just to give everyone some additional context. Now you can keep all of your data and freely change fields from active to passive or vice versa as your group's workflows change over the months and years.


How can I tell the difference between an active and a passive field?

On the field information sidebar

Click a field to open its information sidebar. Here you can see the name of the field, its type, its Source, and all of the places it appears within your group.

Active fields have a green indicator to the right of the field name and passive fields do not.


On the field search dropdown and filter modal

Active fields appear in a white color and can be selected for immediate use. Passive fields appear faded and selecting them requires you to convert them to an active field before using them in your filter, table, graph, etc.


In Settings

On the tab of Group Settings (only accessible by Administrators, see ) simply find your field and see whether the radio is flipped on or off. If it's on, the field is active. If it's off, the field is passive.

What happens when I activate a field?

That field becomes available for use by anyone in your group on tables, filters, graphs, and shared with other groups.

What happens when I deactivate a field?

Deactivating fields will remove them from any reports, dashboards or tables using them. They will still appear on the company profile. This can only be performed by administrators (see Account Types).

How many active fields can I have?

On the Fields tab of Group Settings there is a progress bar in the upper-right that indicates how many active fields are in use by your group relative to the maximum number it can have. If you wish to request more active fields, contact us.
